Document a process as an SOP

Turn "how Jamie does it" into a SOP someone new can run from.

What you need: The process you want to document — pick ONE specific task, not a whole job. The person who actually runs it today (their name + role). What kicks it off (a calendar block, an email arriving, a customer action). The tools and access someone needs before they start. The 5-12 things that get done, in order. The 2-3 things that most often go sideways. And how you check it actually worked.

How to use: Open a fresh AI chat (or your Claude Project / Custom GPT / Gemini Gem if you've loaded a business profile from "Start here") and paste this prompt. The AI will interview you across 8 questions to extract what you know about the process — including the gotchas only the person who runs it would think of — then produce a one-page runnable SOP. It will refuse to write a 40-step monster: if your process is bigger than 12 steps, it splits it into linked sub-SOPs. Save the output to wherever your team actually looks (Notion, Trainual, Drive) — wherever they search by default is the right place.

We'll do this in two phases.

PHASE 1 — Context. Ask me these…
